IP SupportIP Administrator
Remote with occasional travel to one of UK offices
We are seeking a Patent Administrator to work for a leading IP law firm.The position is a 13 month contract and offers remote working, attending one of the firms offices once very couple of months.Duties include:Providing comprehensive administrative and secretarial assistance.Producing and formatting a wide range of documents such as correspondence, emails, and technical patent material.Maintaining and updating digital matter-tracking systems.Monitoring and organising electronic and paper communications, including incoming mail and email.Creating and submitting official documentation for UK, European, and international patent and design filings, including working with online submission platforms, handling fee payments, and ensuring accurate reporting.Raising and processing billing through electronic invoicing systems when required.Coordinating domestic and international travel arrangements, including flights, visas, and accommodation.Reviewing and checking documents for accuracy and consistency.Compiling materials such as reports, presentations, and briefing packs.Recording and submitting expense claims.Responding to client enquiries when appropriate.Supporting the preparation of proposals and presentations for prospective work.For this position we are seeking the following:Experience supporting patent and intellectual property work within a legal environment.Strong interpersonal and written communication skills, with the confidence to deal effectively with colleagues, clients, and external partners at all levels.A high degree of accuracy and care, with a genuine commitment to producing high-quality work.Able to organise competing priorities, stay calm under pressure, and actively support teammates during demanding periods.Comfortable overseeing attorneys’ inboxes, assessing priority, and taking appropriate action independently.Proficient in Microsoft applications, with exposure to matter-management systems and experience creating reusable processes, templates, and workflows.Motivated to develop new skills and take on additional responsibilities.Capable of working both independently and collaboratively within a team.In return this position offers an excellent, market competitive, salary, remote working with only occasional travel to one of their UK offices and a supportive team of colleagues.Please note for this position you MUST reside and live in the UK currently and be able to work in the UK without the requirement of sponsorship.
