IP Support is working as the exclusive recruitment partner for a brand new PA/secretarial vacancy with a tier one specialist law firm. This role provides PA and secretarial support to a highly-regarded Partner, working closely with them to review progress, manage priorities, and ensure smooth day-to-day operations. Responsibilities include inbox and diary management, scheduling meetings, preparing documentation and presentations, and coordinating logistics such as travel, accommodation, meeting rooms, and catering. The position also involves assisting with billing processes by preparing and reviewing invoices, verifying client information, and liaising with finance teams, as well as acting as a professional point of contact for clients and external organisations.The role incorporates patent administration, such as preparing forms for UK, European, and international patent and design applications, monitoring deadlines, progressing case files independently, and liaising with records teams. It also requires drafting, amending, and proofreading letters, emails, and legal documents to a high standard, managing case information using internal databases and online resources, preparing bundles for hearings, and producing standard reporting letters with minimal instruction.Additional responsibilities include file and document management through internal systems, maintaining accurate client instructions, coordinating translations, and managing assignment documentation. The role also involves monitoring workspaces during absences, providing cover for colleagues when required, attending team meetings, and contributing to project work as needed.The ideal candidate will have previous PA or secretarial experience, ideally within professional services, legal, or intellectual property. Patent knowledge would be advantageous but is not essential. Strong organisational skills, excellent written and verbal communication, and the ability to draft correspondence independently are key. Accuracy, attention to detail, and the ability to manage competing priorities under pressure are essential.The role requires someone who is proactive, able to work independently and as part of a team, solutions-focused, flexible, and adaptable.
